# Spa Packages & Group Bookings

A spa visit with friends, family or colleagues can be a welcome change from a busy social calendar. The planning, however, is different from booking one appointment. People may want different services, have different budgets or need to leave at different times.

For a group visit at Four Seasons in Wakad or Baner, begin with a clear outline rather than a fixed assumption about what a package includes. The branch can then confirm the available services, room arrangements and appointment capacity for your date.

## Define the group before choosing the package

Collect the details that determine what can be scheduled:

- The number of guests who want treatments.
- The preferred date and branch.
- The earliest arrival and latest finish time.
- Each person's preferred service or category.
- A comfortable budget per person.
- Whether guests need appointments at the same time.

You do not need to collect private health information for everyone. Each guest can discuss individual suitability and personal preferences directly with the team.

A group organiser's main task is coordinating timing and shared arrangements, not choosing every treatment for every person.

## Understand what “package” includes

Ask for a written list of the services, durations and inclusions. A package name may sound comprehensive without explaining whether each service is a complete appointment or a shorter version.

Check the distinction between the total time at the spa and the time spent receiving treatments. Clarify any changing, rinsing, room transitions or waiting periods between services.

If a guest does not want one part of the package, ask whether a substitution is possible and how the price changes. A package is a useful choice when its contents fit the group, not simply because it includes more items.

## Plan for simultaneous or staggered appointments

A group booking does not automatically mean everyone starts together. The schedule depends on the available practitioners, rooms and the services selected.

For example, three friends might all want different treatments and have the same departure time. Ask the branch whether those services can run together or need a staggered sequence. If staggering is necessary, check where guests wait and whether the overall plan still suits them.

Treat this as a scheduling question, not a reason to make assumptions about capacity. Confirm the actual timetable with the branch before arranging transport or another activity afterwards.

## Couples, celebrations and special requests

For two guests, clarify whether you want a shared room or simply appointments at the same time. The guests may prefer different treatments, so ask whether that can be accommodated.

For a birthday or another celebration, explain what you have in mind. Decorations, refreshments, photographs or extended room use should only be expected when agreed with the branch. Ask before bringing outside items or planning activities within the premises.

Our [private spa suite guide](/helpful-guides/private-spa-suites) covers room arrangements and privacy questions in more detail.

## Workplace and corporate enquiries

If you are arranging a visit for colleagues, give people a genuine choice about participating and selecting treatments. A shared event should not require guests to discuss personal preferences in front of the group.

Ask about invoicing arrangements, payment responsibility and how individual service choices will be recorded. Confirm whether the organisation is paying a fixed amount per person or whether guests are responsible for optional additions.

One point of contact can simplify the schedule, while individual treatment discussions stay between each guest and the spa team.

## Agree the budget and payment terms

Before collecting money from guests, confirm:

1. The final price per person and what it includes.
2. Any deposit required and the payment deadline.
3. Whether the organiser pays together or guests pay separately.
4. The cancellation and rescheduling conditions.
5. What happens if the final number of guests changes.
6. How late arrivals affect the agreed timetable.

Do not promise refunds, substitutions or flexibility to the group before the branch has confirmed its actual terms.

## Send one clear confirmation

Once the plan is agreed, share a short summary with guests: branch address, arrival time, individual treatment choice, expected finish time, preparation instructions and the contact number.

It can help to ask each person to confirm their own service details before the organiser finalises the booking. This reduces confusion between a general group enquiry and an appointment that has actually been reserved.

If preferences change, update the branch promptly so it can check whether the timetable still works.

## Keep the experience manageable

A shorter, well-organised visit may suit a group better than an ambitious list of treatments. Leave some flexibility around travel and avoid booking the next activity immediately against the estimated finish time.
